Exploring Collections, Data Custodians and Data Custodian Networks
Introduction to Collections
Collections are curated lists of resources (Datasets, Analysis Scripts & Software, Data Uses / Research Projects and Publications) around a particular topic, theme or Team. Types of Collections could include resources related to a research domain, research hub or research project.
Collections can be managed by Data Custodian Teams or by individual (registered) Gateway Users.
Collections on the Gateway
To view, add, edit, or archive a Collection, navigate to the section entitled ‘Collections’ within your Team Management dashboard or personal profile.
Adding a new Collection in the Gateway
To add a Collection for a Team, select the ‘+ Add new Collection’ button.
A Collection requires a Collection name, Description and Logo.
Add Related Resources
To link Datasets, Data Uses/ Research Projects, Publications, Analysis Scripts & Software that are already available in the Gateway to the Collection, click the ‘Add resource’ button.
To remove a related resource, click the remove icon.
You have the option to ‘Save as draft’ or ‘Publish’. Once published the Collection will display as active. To edit any Collection within the dashboard, select the edit icon, and to archive the collection select the archive icon.

Data Custodian Pages
Each Data Custodian Team has a Data Custodian Page. The Data Custodian page displays active Datasets, Analysis Scripts & Software, Data Uses / Research Projects and Publications surfaced by the Data Custodian team.
Data Custodian pages differ from Collections, in that Data Custodian pages automatically update each time the Data Custodian Team adds a new resource. Collections require manual curation and maintenance, but can include data resources from different Data Custodians.
Gateway Users with a registered profile can make a general enquiry to a Data Custodian from the Data Custodian page.
Viewing a Data Custodian page
From the Gateway homepage, select the Data Custodians tile.
Alternatively, select the option Data Custodians from the Search menu.
From the Data Custodians Search tab, you can search by Data Custodian name or Dataset title within the filters on the left of the screen.
Example Data Custodian page
This is an example of a Data Custodian page in the Gateway. This page displays all of the data resources surfaced by this particular organisation
Each time a new data resource is added by the Data Custodian, this page will automatically update.
Data Custodian Networks
A Data Custodian Network is an individual page that represents the data resources from multiple Data Custodian Teams and organisations, for example the NHS Research Secure Data Environment Network or the Scottish Safe Haven Network.
These pages operate in the same way as Data Custodian pages, in that each time a data resource is added by any of the Data Custodians within a particular network, the page is automatically updated.
Data Custodian Networks can be found by clicking on the ‘Data Custodian Network’ tile on the homepage, or via ‘Collections/Networks’ in the search view:
