Managing your Data Access Requests
Once an application is under review by a Data Custodian, its status will change via the progress tracker on your individual application card. At this point, application form content is no longer editable.
Clicking on the ‘eye’ view icon will allow you to view (but not edit) your application and respond to messages from the Data Custodian during the review process. The ‘withdraw’ symbol will formally withdraw your application. Withdrawing an application cannot be undone.
Underneath the status tabs, when an application is at the ‘In Review’ stage, you will also be able to find any applications where there might be an action required of you or the Data Custodian. To find out more about any actions, click into the application card and head to ‘Messages’ (see ‘Responding to messages from a Data Custodian about your Data Access Request’ section below).

Applications to multiple Data Custodians
Any applications for multiple Datasets & BioSamples from multiple Data Custodians will be shown as follows:

Individual submissions for each Data Custodian will be grouped together under a single application heading. Each individual form submission is editable via the ‘pencil’ edit icon. Similarly, an application can be deleted at any time by using the ‘delete’ icon. Deleting an application cannot be undone.
Responding to messages from a Data Custodian about your Data Access Request
Once your Data Access Request has been submitted, a Data Custodian may contact you about your submission. You will be notified of this via email and will be able to respond within your application submission directly. To do this, click on the ‘eye’ view icon for the relevant application and click ‘Messages’.

Simply type in your reply in the text box and click ‘Send’.
You will then see a ‘success’ message followed by a status change for the Data Custodian to respond. Your reply is also logged in the messaging thread.

Data Access Requests Reviews and Decisions
A Data Custodian can decide to either:
- Return your application to ‘draft’ to enable you to make further changes to application form content and re-submit your application
- Approve your application
- Reject your application.
Any applications returned to you will appear under ‘Draft’ and you will now have the option of editing your application via the pencil icon:

Please make any necessary changes before submitting your application again.
If your application is approved, the status of the application will be updated and you will be able to view the application.

If your application is rejected, the status will also be updated:

Note that following approval or rejection, your application will no longer be editable.
